1. Download and run the ListMax 1.5 installation.

 2. Create a System Supervisor

a. Open ListMax
b. Click the 'New...' Button.



c. Click 'System Supervisor' and enter a 'Connection Name' (This can be anything you like).
d. Click "Next' to continue.



e. Enter the IP address or fully qualified host name of the system to connect to. Leave the default 'Port' setting of 3487.



f. Enter the 'Supervisor Password' - The default password is MYSTERY unless you changed it during the installation.



g. Click 'Finish to continue.
h. The System Supervisor is now created and ListMax should look like the screenshot below.




 3. Adding a Server

a. Right click on 'System Supervisor' and select 'Add Server...'



b. New Server Settings

IMPORTANT!!!
The server email address CANNOT be the same as the list address.



Server Mail Address: This is the email address that people will use to SUBSCRIBE and UNSUBSCRIBE.
 
Password: This is the password needed to modify the settings for the new server.
 
Pop Server
The Pop Server information is needed to allow the server to receive email. The server receives all commands for the server, list and member settings. (ex. subscribe, unsubscribe)
 
Address: POP server address.
 
Login: The 'Login:' should be the name to the left of the @ sign of the 'Server Mail Address'.
 
Password: This is the password of the 'Server Mail Address'.
 
SMTP Server
The SMTP server is what the list server uses to send its mail.
 
Address: SMTP server address.
 
Mail From: Use the 'Server Mail Address' that you specified.
 
Maximum number of lists: When creating servers, the system owner can set a limit of the number of lists. A setting of zero will allow unlimited lists. If you are not a Supervisor and you edit the server settings, you cannot change the maximum number of lists.
 
Comment: The Comment may contain any information you choose to enter. Its contents are ignored by ListMax.

c. The Server is now created and ListMax should look like the screenshot below.



d. People who want to subscribe/unsubscribe need to send an email to server@smartmax.com.
Ex. SUBSCRIBE MUSIC mike taylor


 4. Adding a List

a. Right click on the Server we just created (server@smartmax.com) and select “Add List…”



b. New List Settings

IMPORTANT!!! The list email address (POP3 Login) CANNOT be the same as server email address.



Description: The Description is placed after the name of your list when a potential member asks for a list of lists on the server.
 
List Owner E-mail: Members need to contact the List Owner with any questions or problems regarding the list.
 
POP3 Login: The POP3 login should be what you specified for the 'List Name'. This will be the name to the left of the @ sign. The example above is music@smartmax.com. Subscribers will need to send emails to music@smartmax.com in order to send an email to the entire list.
 
POP3 Password: This is the password for the pop3 account setup in your email server.
 
OPTIONS
 
Membership requires confirmation: It is recommended that you turn on this feature. When a new member subscribes, a confirmation email is sent to the user who must reply to it or the subscription will be dropped. This prevents someone else from signing up the member without permission. Below is an example of a confirmation email.

 
Moderated: All messages sent to the list are sent to the moderator (List Owner). A moderator must accept the message before it is sent to the list.
 
New members may post immediately: This is common for most open lists. For lists that are created to be used as an electronic magazine or newsletter, you may not wish to allow members to post. Turn this off if you want new members blocked from posting.
 
Allow posts from non-members: Typically, you do not want to allow this, but if you do allow it, then anyone can send an email to the list and it will get posted. If it is moderated, a moderator must approve it before it is posted.
 
Hide users from lists by default: Normally, the names and e-mail addresses of members can be seen by requesting a membership list via an email command. Users can remove themselves from the list, but if you select this feature new users will not appear in the list.
 
Closed list: A list marked as closed will reject any attempts by someone to join the list. The list owner will have to add members manually. The reject message sent to the potential user will include the List Owner Email if that is entered.
 
Replies to posts are sent to:
All mail sent out by ListMax has a Reply-To field that mail clients normally recognize. When a member receives mail and decides to reply to it, the client will use the Reply-To address. You can control where that reply will go to by changing this selection. If you select "Posting member" then a member's reply will go directly to the person who made the original post. If you select "All list members" then the reply will go to the list for redistribution to everyone.
 
Line limit: You can limit the size of messages sent to the list.



c. Subscribers will need to send emails to MUSIC@smartmax.com in order to send an email to the entire list.


 5. Adding a member to the list (manually)

a. Right click on the list we just created (MUSIC) and select 'Add Member..'.



b. New Member Settings

Members on a list are uniquely identified by their email address. Enter the email address and name of the individually you are adding to the list.



Digest Mode: This mode allows accumulated mail to be delivered no more frequently than every 24 hours. The user will not get individual posts as they arrive at the list server.
 
Acknowledge posts: When posting messages to the list, the member will be sent a confirmation message that the post was received. This is a useful option for those who use digest mode to get their list mail.
 
Hide from lists: It is possible to ask the list server for a list of members of a mailing list. This prevents a user's name and mailing address from being displayed when that list is requested.
 
Hold mail: This keeps the member as an active part of the list, but halts sending mail to the member. This is ideal for people going on vacation.
 
Can Post Messages: If this is on (see "New Members may post immediately" in the New List Settings for the default for this), then the member can post messages. If it is off, any mail sent to the list will be rejected.
 
Moderator: If this is set, then the member is a moderator for the list. If the list is moderated, messages sent to the list will be distributed among the moderators who must approve or reject mail before it is sent back out to the list.
 
Banned: The member is banned from doing anything. The member cannot send mail to the list nor can they receive mail. Use this for people whom you no longer wish to offer this service.
